As the year gets closer to starting, we will have a large group of people who want to help us do our jobs at the club and as coaches will volunteer.
Volunteers are the life blood of every club. Thousands of Volunteer hours make up the backbone of this proud club. Volunteer burnout is a problem across all clubs in New Zealand, this is all managers, coaches and helpers.
We rely too heavily on the few!
Those people who are always on committees, at events, coaches and managers. We need to spread the love across all our club. We are all busy, if we work together, we have a greater level of harmony.
I have chased up a plan for coaches to look at to help ease the strain.
Use the 4-Bucket Time Model
1. High Impact / Low Time (Do First)
These are gold.
- Clear weekly training plan
- 10-minute individual player check-ins
- Short video clips instead of long meetings
- Delegating a role to a leader
These move the needle without draining you.
2. High Impact / High Time (Schedule Carefully)
- Full session planning
- Game review
- Selection discussions
- Strategy alignment with assistants
Limit how often and how long these happen. For example:
Instead of 90 minutes of video review — send 5 key clips with 3 coaching questions.
3. Low Impact / High Time (Delegate Immediately)
- Managing gear
- Team comms reminders
- Chasing RSVPs
- Organizing social events
Appoint:
- Team manager
- Leadership group member
- Assistant coach with clear portfolio
Volunteers burn out trying to do everything.
4. Low Impact / Low Time (Ignore)
- Arguing on sidelines
- Over-coaching
- Social media comparison
- Attending every rugby event
